New SDR self-deposit feature makes collaboration easy

Many hands can now make light work of depositing to SDR!

It may have been the summer, but the SDR Team has been busy building a new application that makes depositing to the SDR easier than ever. One of the most exciting new features allows SDR depositors to invite others at Stanford to work together on a deposit. The depositor has three permission options they can grant their invitees: 

  • invitees can view the deposit in the app but can't make changes
  • invitees can view and make changes to the files or metadata
  • invitees can view and make changes as well as complete the deposit and publish the work

This new feature is easy to use. The Depositor enters the SUNet IDs or Stanford email addresses for the people who should be able to access the draft or completed work, assigns each of them the desired permission level, and then saves. Each of the people added will be listed on the info page for the deposit and will receive an email letting them know that the deposit has been shared with them.

SDR users have been quick to adopt this new feature for a wide variety of uses. Read more below about how you too could use this new feature to simplify or enhance your SDR workflow!

Student group projects

For students working on group projects, everyone in the group can now access what is being submitted to the SDR and can upload their completed files for the project and double-check the form entries to make sure everything is correct. Any member of the group can submit the work to make sure it gets handed in on time!

Research team joint publication

Sometimes multiple members of a research team need to publish data together in support of a publication. With our new feature, each team member can now upload the data they generated for their part of the project without needing to send files to the primary depositor or verify that the correct files are being uploaded from a shared location. Each person can manage their own portion of the work.

Thesis review by advisor

Student theses can now easily be shared with the appropriate thesis advisor(s) so that they can review the submission and complete the deposit if everything is in order.

Deposit assistance

Administrative assistants can easily deposit open access copies of publications on behalf of a faculty member while allowing the faculty member access to see the progress of the work.

PI delegation

A PI can now start a deposit and then designate a research group member as an editor to make further additions or adjustments. The PI can retain the power to complete the deposit so that they can be confidant everything is complete and accurate prior to submission.
